This page is meant to show the flow for how an LEA Data Manager would access data quality checks and what they should do after reviewing them.

How to Access

All data quality checks can be found in the Vermont Education EFT folder that AOE has created for your SU.

You may also access this system via an SFTP client using the same login credentials to mount it locally to your machine.

Finding the Latest Checks

In order for data quality checks to be run, the status of the collection should be "Ready to Certify" or "Certified". Essentially they need to pass all of EdFusions Business rules and be loaded into the VTSource DB.

Each SU has their own folder and it will contain cumulative files for any data quality checks run during the collection.

The path to the data quality checks looks something like this:

SLDS VR/SU0XX/From AOE/Data Validation and Error Reports/DC0X/202X/08_03_202X

To find the most recently reduced report look for the folder with the latest date. Old reports are kept in place for reference, and might be deleted after the collection is over.

LEA Data Quality Dashboard

In the root of a runs folder(the folder 08_03_202X), there should be an html file named Overview_SU0XX.html. This file is meant to provide an overview of the data submitted and any high priority data quality checks that the LEA failed.

The hope is this will be the first thing a LEA data manager will look at and it will help them work with other LEA staff to determine if their submitted data is correct.

How to Reconcile Data Quality Check Findings

  1. Review the aggregate data in the Overview Dashboard file mentioned above.
  2. Prioritize any data quality check labeled as high priority highlighted at the end of the Overview Dashboard
    • Alternatively, LEA Data Managers may use the Pass_Fail.csv file located in the Drill_Down folder
  3. If more information is required or the number of errors is large, LEA Data Managers can navigate to the Drill_Down folder and locate a csv file with the same name as the check. This file will have the full information about any failed checks and is used as a source for the Overview Dashboard.
  4. Correct any issues found that you believe are legitimate errors by submitting new data.
  5. The reports are generated on a regular basis in the morning during a collection. LEA Data Managers need to wait overnight after a submission for your new data to be produced in a new report the next morning.
